Any staff seat that can log in to your dashboard. External donors and auditors use the separate donor/audit portal and do not count against your user cap — they have their own seat allowance per tier. Bots and integrations also do not count.

Every paid tier includes seats for external reviewers — donors, auditors, board members, compliance officers. They get their own login at app.empobase.com/audit with scoped read-only access to projects you choose. They never see your HR records, internal finance, or unrelated projects. Every action they take is logged. Revoke access in one click when the audit ends. Starter gets 1 seat, Team 5, Pro 15, Enterprise unlimited.

Nothing breaks — you keep working. Overage rates apply on the next invoice: $0.15/GB-month storage, $4/extra user-month on Team, $0.20/GB egress (rarely hit). The dashboard shows your usage so there are no surprises. For most teams, upgrading is cheaper than sustained overage at scale.

Talk to us. Most teams that hit 100 users want a dedicated instance for compliance reasons anyway, so the conversation usually becomes about Enterprise terms rather than seat counts.

Cancel any time. Monthly plans stop at the end of the current period. Annual plans are refundable pro-rata in the first 30 days; after that we credit the unused portion against future invoices.

The new list prices apply to new customers only. If you are already on a paid plan, you are grandfathered at your current price for 12 months, or until your next annual renewal — whichever comes first. Nothing changes for you mid-term, and we will always tell you before a renewal moves.

Not the statutory part. EMPOBase keeps a double-entry general ledger — chart of accounts, balanced journals, approval chains, server-enforced period closing, reversal entries, multi-currency and financial statements — built around projects, grants and restricted funds. What it does not do is jurisdiction-specific statutory work: it does not compute local tax or social contributions, run statutory payroll or produce country filing formats. Run EMPOBase as your grant and operations ledger, keep the statutory books with your accountant, and let clean CSV exports feed those tools.

It runs the people side of payroll, not the statutory side. Pay grades, per-staff salary records, pay review cycles and benefit enrolments are kept behind a dedicated compensation permission, and Finance receives aggregated payroll totals per period with no names or salary rows. Approved timesheets post labour cost per project to the ledger. EMPOBase does not calculate payroll tax or social contributions, generate payslips or file statutory returns; your payroll provider or accountant keeps doing that.
